Configure Salesforce in inSync Management Console

Overview

You can configure inSync to integrate with Salesforce so that inSync can connect with your Salesforce account and access the Salesforce objects for backup.

Configuration of inSync is a 2-step procedure that requires you to,

  1. Register Salesforce organization in inSync Management Console.
  2. Configure the registered Salesforce organization and make it ready for the first backup.

Additionally, you can also register an org just to restore Salesforce data backed up from other orgs registered with inSync.

Storage

inSync provides a separate storage for storing Salesforce data. Storages are made available as per your region. After you register a Salesforce organization for backup, you can select the desired storage region and associate it with the Salesforce organization to store the data.

Note: Once you assign a storage region to a Salesforce organization, you cannot change it.

Register a new Salesforce organization

You must register the Salesforce organization that you want to configure for backup in inSync. Registering a new Salesforce organization involves the following:

Pre-requisites

  1. Get the Salesforce system administrator account details for the organization that you want to configure for backup.
  2. Grant the below permissions to inSync to access Salesforce data:
    • API Enabled permission
    • Manage Users
    • Modify all data
    • Modify Metadata Through Metadata API Functions
    • Enable Chatter
    • View all data
    • View all users
  3. Install Salesforce App in your Salesforce environment. 

inSync uses Chatter APIs to list and fetch files for every user and thus relevant permission for users will be required.

Procedure

To configure inSync to integrate with a Salesforce organization,

  1. On the inSync Management Console menu bar,  click the Left_Navigation_Bar_Hamburger_Icon.png icon to access the global navigation panel.
  2. Click SaaS Apps.
  3. Click Salesforce.  An existing list of Salesforce organizations, if any, that are registered for backup in inSync is displayed.
  4. Click Add Account to add a new Salesforce organization for backup. Add Salesforce Account window appears.

  5. In the Select account type drop-down list, select the account type that you want to assign to the new org, and click OK.
    You are redirected to the login page of the Salesforce Cloud environment that you have selected for backup.
  6. Set Account purpose as Backup and Restore and click OK
    You are redirected to the login page of the Salesforce Cloud environment that you have selected for backup.
  7. Enter the Salesforce administrator's username and password for the Salesforce organization, and then click Sign in. You are displayed the list of permissions that inSync requires to access Salesforce data.
  8. Read the permissions and click Accept to grant inSync the permissions to access Salesforce data. 
  9. inSync now tries to install Salesforce App in your Salesforce environment. Select Install for Admins Only option and click Install to install inSync application for Salesforce administrators only.
  10. Approve Third-Party Access page appears. This page lists the inSync Cloud URL, to which Salesforce App will communicate while performing backup and restore operations in Salesforce. Select Yes, grant access to these third-party websites check box, and click Continue.
  11. Salesforce App is installed. You are displayed a page with instructions to perform further activities. Read the instructions carefully and click Done.

Your Salesforce organization is registered with inSync. Salesforce App is installed in the Salesforce environment. You can also view Salesforce App listed as an installed application on Installed Packages page.

inSync also sends a confirmation email about the successful installation of the application in the Salesforce environment.

Configure Registered Salesforce organization in inSync

When you register your Salesforce organization in inSync, inSync just gets connected to your Salesforce organization with required permissions. To start backup, you must configure the registered Salesforce organization for the following:

  • Daily API Quota - inSync consumes APIs while performing the backup of objects from your Salesforce organization. As a Salesforce administrator, you must be aware of the daily API usage limit set for your organization by Salesforce. Typically, the API limit is set based on the criticality of the applications that you use in Salesforce and the size of the data your organization generates on a daily basis. Salesforce App utilizes maximum APIs during its first backup. Since subsequent backups are incremental, minimal APIs are consumed and hence, the API quota can be reset accordingly.

    Druva recommends that you calculate the data generated in your environment before you configure the API quota.

    You must specify an appropriate number of API calls that inSync must consume while backing up objects from your Salesforce organization. Here is a guideline on the number of API calls, that inSync consumes while performing Salesforce objects backup.

    The inSync API usage depends on the number of fields in each record and size of the record. Generally, the API usage is as follows:

    • 1 API call for every 200 to 1000 records.

    • 2 API calls for each file and attachment.

      inSync calculates 10% of the daily API calls permitted by Salesforce for your organization. If the calculated value is greater than 15000, it is set as the default Daily API Quota for your organization. If the value is less, then the default Daily API Quota is set at 15000. 

For example:

  • If the daily API calls permitted by Salesforce for your organization is 100,000, the default Daily API Quota is set at 15,000.
  • If the daily API calls permitted by Salesforce for your organization are 200,000, the default Daily API Quota is set at 20,000.

inSync consumes only the required number of APIs for its backups and may not fully consume the quota. Daily API Quota indicates the maximum number of APIs inSync can consume for its backups. Administrators can change the quota either from the inSync Management Console and from Salesforce through the Salesforce App. The minimum and maximum quota limits are 1 and 1,000,000 respectively.

  • Backup Interval - You must specify the time interval after which inSync should backup your Salesforce data.
  • Storage - By default, inSync does not allocate storage to your registered Salesforce organization. inSync provides separate storage for Salesforce data. While configuring your Salesforce organization, you must select the storage that is available in your region. Once you select the storage, all the Salesforce data is backed up from your Salesforce organization to the storage.

Prerequisites

  • Registered Salesforce organization in inSync.
  • Approximate value of API quota calculated using the information provided above.
  • Email from Salesforce confirming successful installation of Salesforce App package.

Procedure

  1. On the inSync Management Console menu bar,  click the Left_Navigation_Bar_Hamburger_Icon.png icon to access the global navigation panel.
  2. Click SaaS Apps.
  3. Click Salesforce. A list of existing Salesforce accounts registered for backup is displayed.
  4.  If the App Status is displayed as Storage not assigned and its App Status info is displayed as Assign storage, skip to step 5.
  5. If the App Status is displayed as Package not installed and its App Status info is displayed as Confirm package installation, perform the following steps.

    1. Check if you have received the package installation email from Salesforce. Wait for the mail as the package installation may be in progress if you have not received the email.
    2. Click the Confirm package installation link under App Status info
    3. Click Confirm Package Installation on the confirmation message. 
      After a successful confirmation, the App Status displays Storage not assigned and the App Status info displays the Assign storage link.

  6. Click the Assign storage link to proceed with the configuration.
  7. Specify appropriate values for the following configuration:
    • Daily API Quota - Change the default value only if required.The default value displayed in this field is either 10% of the daily API calls permitted by Salesforce for your organization or 15000, whichever of the two is higher. This calculation is explained in the section above.
    • Backup Every - Specify the time interval between every backup after which inSync must back up the Salesforce data.
    • Storage - Select the storage in your region, where inSync should backup your Salesforce data.

      You cannot change the storage once you assign it.

       

  8. Click Save to preserve the specified configuration.inSync assigns the selected storage to your Salesforce organization and starts the backup immediately.

Backup and Restore

inSync automatically starts the backup of Salesforce organization configured for backup. inSync performs backup at a scheduled interval as specified while configuring the Salesforce organization for backup.

  • Administrators cannot trigger a manual backup of a configured Salesforce organization from inSync Management Console. Manual backup can only be triggered by the Salesforce System Administrator from Salesforce App. For more information, see Salesforce App dashboard.
  • Administrators cannot restore Salesforce organization data from inSync Management Console. Restore can only be performed by the Salesforce System Administrator from Salesforce App. For more information, see Restore Salesforce data from Salesforce App.

inSync support for items present under Salesforce Files

inSync supports the backup of items present under the Files object. These items are data from Chatter Feeds or Posts, Shared files, and Attachments of the type File. The items listed under Files are managed through the following objects:

  • ContentVersion: Stores the actual file and the backed up versions of a file.
  • ContentDocument: Stores all the file related information about the latest version of a file.
  • ContentDocumentLink: Tracks and stores the links and share associations of a file.

inSync backs up the above objects and supports the download and restore in Salesforce organization.

Download and restore of documents in Salesforce Files 

inSync follows a configured schedule to back up the Salesforce objects. It supports the backup, restore, and download of ContentVersion, ContentDocument, and ContentDocumentLink that manage the documents in Salesforce Files.

The following table describes how the download and restore capabilities are distributed between inSync Management Console and Salesforce App. The following table applies to both Classic and Lightning views of Salesforce.

Alerts and ReportsEdit section

After you configure inSync to backup a Salesforce organization, inSync automatically backs up data from Salesforce at scheduled intervals. You can track the backup and restore activities for a Salesforce organization using the Salesforce Backup and Restore report. For more information, see Salesforce Backup and Restore Report.

inSync also generates alerts if a scheduled backup fails on a configured Salesforce organization. You can subscribe to email alerts for Salesforce Backup Failed alert. To know more about this alert and subscribe to it, see Alerts.

Enable alerts for monitoring app status 

After you have configured inSync with Microsoft 365, you can choose to receive alerts whenever the Microsoft 365 app status changes. For example, alerts when Microsoft 365 is not connected.

Procedure 

To enable the alerts for OneDrive app status, execute the following steps:

  1. On the inSync Management Console menu bar, click Bellicon.PNG. The list of all alerts appears under the Active Alerts tab.
  2. Click the Alert Subscriptions tab. A list of available alerts is displayed.
  3. Select the SaaS Apps Status alert, and then click Edit. The Edit Alert Notifications window appears.
  4. In the Admins to be notified field, select the administrators who must receive the alerts. By default, the server administrators are notified about the alerts for cloud apps status.
  5. If any user action is required, select the Notify user check box.
  6. Click Save.

Reconfigure Salesforce organization in inSync

As an administrator, you can reconfigure any Salesforce organization that is configured in inSync for backup.

Reconfiguration is needed in cases like,

  • If an upgrade to Salesforce App is available.
  • Salesforce App is not able to connect to Salesforce service
  • If you consistently see the value - Package Not Installed in the App Status column on Salesforce Account List details page.

Note: When you reconfigure a Salesforce organization, inSync stops all the ongoing cloud app backups.

Procedure

To reconfigure a Salesforce organization,

  1. On the inSync Management Console menu bar,  click the Left_Navigation_Bar_Hamburger_Icon.png icon to access the global navigation panel.
  2. Click SaaS Apps.
  3. Click Salesforce to reconfigure a Salesforce organization. Salesforce Account List with Salesforce organizations configured for backup is displayed.
  4. Select the Salesforce organization that you want to reconfigure, and click Configure. A confirmation dialog box appears.
  5. Read the message on the confirmation dialog box, and click Yes to proceed with the configuration. You are redirected to the login page of the Salesforce Cloud environment that you have selected for backup.
    Note: Reconfiguring a Salesforce organization will cause all backups in progress to terminate for the organization.
  6. Enter the Salesforce administrator's username and password for the Salesforce organization, and then click Sign in. You are displayed the list of permissions that inSync requires to access Salesforce data.
  7. Read the permissions and click Accept to grant inSync the permissions to access Salesforce data.
