Know your Teams dashboard

The Teams dashboard lists all the discovered Teams. This topic explains the dashboard in detail and the actions you can perform on it.

Access path

To access the Teams dashboard, sign in to inSync Management Console and navigate to Microsoft 365 > Teams.

The following table describes the fields on the Teams dashboard.

Field Description
Teams | x of x The count of all the discovered Teams.
Search Team

Search for a specific Team. 

Note:  Search using wildcard character  is not supported.

Name

The name of the Team.

Archived teams are displayed with archive teams icon.png icon beside the team name.

 

Channels The number of channels within the Teams
Backup data The size of Teams backed up data.
App Status

The status of the selected Teams.

  • Enabled: Storage is assigned to the Teams and backup is enabled for the selected Teams.
  • Disabled: If the backup is disabled for the selected Teams.
  • Not Configured: The selected Teams' is not configured for backup. Assign storage to enable backup for the discovered Team.
Last Backup Status (SubApps)

Displays the backup status along with date and time for each of the following:

  • Team Metadata
  • Team Site
  • Conversation

Hover on the backup status icon to view the details.

Actions

Select the Team name using the checkbox to perform the actions as described in the below table.

Field Description
Auto Configuration  Click Auto Configuration to edit the discovery, storage, and backup settings.
Discover Teams Click Discover Teams to allow inSync to discover the newly added  Teams. 
Delete Click Delete to delete the selected Teams.

Filters for Teams

Click on the  Filter icon for SPO filters.png  to filter the Microsoft Teams.

The following table lists the available options for the filter:

Filter Options
Last Backup Status

Filter the teams as per the following backup statuses:

  • Backed Up Successfully
  • Backup Failed 
  • Backed Up with Errors 
  • Never Backed Up
Sub Apps

Only after you select the Last Backup Status, you can use this option to filter teams as per the following Sub Apps:

  • Team Metadata 
  • Team Site
  • Team Conversation

App Status

  • Disabled: All Teams for which backup is disabled.
  • Enabled: All Teams for which backup is enabled.
  • Not Configured: All Teams that are not configured for backup.
Team type
  • Public: Select this checkbox to filter and view only Public Teams
  • Private: Select this checkbox to filter and view only Private Teams

Team Status

  • Active: Select this checkbox to filter and view only Active Teams
  • Archived: Select this checkbox to filter and view only Archived Teams

​Actions

Select the required filter options as per your need and perform the required actions as described in the following table.

Field Description
Apply Click Apply to apply the selected filter options for the required view on the Teams listing page.
Reset Click Reset to remove all the filter options that you have applied.

Summary tab

Click on the Team Name to view the Teams' details page.

Team Details

The following table lists the fields in the Team Details section.

Field Description
Name

The name of the Teams.

Archived teams are displayed with archive teams icon.png icon beside the team name.

Description Description of the Team.
Current Channels The number of channels added to the Teams at a given point in time.
Team URL The web address of the Team site.
Status The Team status displayed as Enabled or Disabled.
Added on The date and time on which the Team was added to inSync. 

Data Distribution

The data distribution pie-graph shows the total data size backed for a Team. It also displays storage distribution details for Team Metadata, Team Site, and Conversation.

Storage consumption

The storage consumption section shows how the storage consumption for the Team Metadata, Team Site, and Conversation has changed over the last 90 days. When you hover the mouse pointer over a particular place in the chart, you can see the storage consumed on a day.

The following table lists the fields in the Team Metadata Summary section.

Field Description
Last Completed Backup The number of days from last completed backup. 
Last Backup Data The amount of data backed up during the last completed backup. 
Last Backup Status The status of the last backup displayed as Backed Up Successfully, or Backup Failed, or Never Backed Up. 
Total Backup Data The total amount of data backed up by inSync for the Team Metadata to date.

Team Site Summary

The following table lists the fields in the Team Site Summary section.

Field Description
Last Completed Backup The number of days from last completed backup. 
Last Backup Data The amount of data backed up during the last completed backup. 
Last Backup Status The status of the last backup displayed as Backed Up Successfully, or Backup Failed, or Never Backed Up. 
Total Backup Data The total amount of data backed up by inSync for the Team Site to date.

Team Conversation Summary

The following table lists the fields in the Team Conversation Summary section.

Field Description
Last Completed Backup The number of days from last completed backup. 
Last Backup Data The amount of data backed up during the last completed backup. 
Last Backup Status The status of the last backup displayed as Backed Up Successfully, or Backup Failed, or Never Backed Up. 
Total Backup Data The total amount of data backed up by inSync for the Team Conversation to date.

Backup and Retention

The following table lists the fields in the Backup and Retention section.

Field Description
Backup Frequency The frequency of backup.  By default, it is Once a Day.
Storage The assigned storage region. 
Data Retention The duration for which the data will be retained. By default, the value is set to unlimited.

Actions

Field Description
Backup Now Click Backup Now to perform a manual backup of the site. 
Enable Click Enable to enable backup for the selected Teams.
Disable

Click Disable to disable backup for the selected Teams.

Note:  For  Teams' with  Disabled  status,  you cannot perform backup operation. However, you can  do the following:

  • View the snapshots or restore points
  • Download  data 
  • View activity logs
Edit Click Edit to modify or update the existing Backup Settings for the selected Teams.

Backups tab

The Backup tab lists the most recent snapshot of the Metadata (Teams Settings) and the Teams channels available for restore and download.

The following table lists the fields on the Backups tab.

Field Description
Snapshot selector

The date and time of the latest snapshot of the Teams' Settings.

Dropdown which lists snapshots of the Last 24 hours, Last 7 days, and snapshots older than 7 days.

Teams Settings

Metadata of the selected Teams. Click on Team Settings to view the following metadata details:

  • Summary: Displays Teams' name and the timestamp of the Team creation date.
  • Members: Displays the total members within the Teams, number of owners, guests.
  • Permissions: Displays the permissions assigned to the guests and members. 

Note: Due to a Microsoft API limitation, there is no mapping for Private Channels within Teams and the SharePoint site.  Consequently, FIles and Wiki data within the Private Channels cannot be backed up and restored in Teams. You can restore Files and Wiki data within the Private Channels from the corresponding associated SharePoint site.

Channel Name

 For Private Channel type, only Conversations data is backed up. Files and wiki data is not backed up.

The name of the Teams' channels and its type - Standard Channel and Private Channel. When you click on the specific channel and expand the channel, you can see a list of data available for download within Files, Conversations, and Wiki.

For Conversations (Emails and messages), the backed up data is displayed as follows:

  • Emails (with a subject): <Subject text>
  • Emails (without a subject): <HTML content>
  • App conversations (For example - Cards): <HTML content>
  • Stickers: <HTML content>
  • Emojis: <HTML content>
  • Attachments with text message: <Message text>
  • Attachments without text message: <->

Actions 

The actions that can be performed on the Teams' Backups page are described in the below table.

Field Description
Backup Now Click Backup Now to perform a manual backup of Teams. 
Enable Click Enable to enable backup for the selected Teams.
Disable Click Disable to disable backup for the selected Teams.
Restore Click Restore to perform restore or recovery of the Team from a point in time snapshot.
Download Click Download to download Teams data from a point in time snapshot.

Activity Stream

Click on the Team Name to view the Teams' activities page.

The following table lists the fields on the Activity Stream page.

Field Description
Activities | x of x  The count of total backup and download activities performed for the Teams
Activity

Details of activity performed for the Teams.

  • Backup
  • Restore
  • Download
Type

Details of the activity performed for the type of Teams' data - Team Metadata or Team Site or Team Conversation.

 The Type is displayed only if you have selected Backup or Restore as the Activity for downloading logs.

Time The date and time stamp when the activity was performed for the Team.
Admin The name of the administrator.
Status

The status of the activity performed for the Team.

For Backup: Backed Up Successfully, Backed Up With Errors, or Backup Failed.

For Restore: Restore Successful or Restore Failed

For Download: Download Successful or Download Failed.

The Activity Stream tab lists the Backup activity logs for the team as follows:

  • Backup activities: Displays a list of backup activity logs that are less than 30 days old.

Note: inSync automatically deletes the backup activity logs which are more than 30 days old.

  • Download and Restore activities - All the Download and Restore activities performed to date are displayed.

Note: inSync does not delete the download and restore activity logs.

Filters for Activity Stream

Click on the Filter icon for SPO filters.png  to search, view, and download the logs of backup and download activities performed for the selected Team.

The following table lists the administrator activities that you can filter according to the activity types.

Filter Options
Activity
  • Backup: All the backup activities performed.
  • Restore: All the restore activities performed.
  • Download: All the download activities performed.
Type

 The Type field is displayed only if you have selected Backup as the Activity filter option. 

  • Team Metadata: All backup and restore activities performed for the Team Metadata.
  • Team Site: All backup and restore activities performed for the Team Site.
  • Team  Conversation: All backup and restore activities performed for the Conversations.
  • Private Channel Site: All backup and restore activities performed for the Private Channel Site.
Site Title (For Private Channel Site only) Select a site title as per your requirement from the dropdown.
Time All activities performed within a specific time interval.
Status
  • Backed Up Successfully: All activities for which the backup operation was successful.
  • Backed Up With Errors: All activities for which the backup operation completed with some errors.
  • Backup Failed: All activities for which the backup operation failed.
  • Restore Successful: All activities for which the restore operation was successful.
  • Restore Failed:  All activities for which the restore operation failed.
  • Restored With Errors: All activities for which the restore operation completed with some errors. 

Note: For Team Site and Private Channel Site, Restored With Errors status is displayed when SharePoint site restore is partially successful.

  • Download Successful: All activities for which download operation was successful.
  • Download Failed: All activities for which the download operation failed.

Select the Activity on the Activity Stream page to perform the actions as described in the below table.

Field Description
Download Logs Click Download Logs to download and view the logs of the backup and restore activities performed for the selected Teams.
Apply (Appears in the Filter dialog box) Click Apply after you have selected the required filter options as per your requirement to view activities for specific criteria.
Reset (Appears in the Filter dialog box) Click Reset to remove all the filter options that you have applied.
