Quickstart guide and workflow for backup

Workflow 

The following diagram illustrates the backup workflow:

Before you begin

Ensure the following:

  • The project is configured. For more information, see Projects
  • Source and destination environments are added in the Environment hub. For more information, see Configuring Environment Hub.
  • You have the required permissions. For more information, see Permissions

Step 1: Create a backup definition 

You can configure the backup settings and trigger a backup using the backup definition.

You can configure the following settings in a backup definition. 

Setting

Description

General

  • Name or description to describe the backup definition.
  • The environment which you would like to backup.

Scheduling

Salesforce App takes a daily backup of your Salesforce data. It will start with a full backup of all the data inside of your Salesforce org (standard, custom, and managed package objects along with attachments, content, knowledge articles, and chatter). It will perform incremental backups every day after the initial full backup. The incremental backups capture the daily records created, updated, and deleted.

Notification

Configure notifications for successful and/or failed backups along with any notifications. These notifications can be received through email and/or text.

Excluded Objects

Objects you want to exclude or include objects from the backup

Excluded Fields

Fields you want to exclude from the backup.

Metadata

You can enable metadata backups, which perform a backup of all files for the selected metadata during each backup cycle. 

Permissions

You can assign recommended Salesforce permissions to a user account associated with an organization with configured backups. This ensures data backup covering the required fields and associated records.

Alerts

Configure alerts to be notified if there are large changes to specified objects.

Step 2: Run the backup job

Salesforce App takes a daily backup of your Salesforce data. It will start with a full backup of all the data inside of your Salesforce org (standard, custom, and managed package objects along with attachments, content, knowledge articles, and chatter). It will perform incremental backups every day after the initial full backup. 

You can allow the backups to run as per the frequency you have set in the backup definition. 

Or 

You can run a backup on demand.

Step 3: Monitor backups

You can check the progress of the data backup from the Task window.

As an inSync Cloud administrator, you can view the following information from the inSync Management Console. 

  • Backup Definition List
  • Backup Statistics
  • Backup and Download Status
  • Reporting information

Configure Subject Access Request

The Subject Access Request feature helps you to stay GDPR compliant with your backups. You can delete, edit, or export records from your backup files.

The following options are available:  

Option 

Description

Forget - Right to Erasure

Use this option to delete records throughout your backup files.

Change - Rectification

Use this option to edit records throughout your backup files.

Export - Data Portability

Use this option to export records from your backup files in a structured format.

Subject Access Requests have a two-day delay period before the request is completed.
