How to download Google Workspace data?

Overview

As an inSync Cloud administrator, you can download the Google Workspace user data.

  • Backed up Gmail contents such as calendar events and contacts.
  • All backed up Google Drive contents.

You can also view the backup data by using the inSync Mobile App. 

You can download Google Workspace data in either of the following methods:

When an administrator or a user downloads data, inSync automatically detects the operating system and downloads the data in the appropriate archive format. On Mac OS, now the data is automatically downloaded in the .tar.gz or .tar archive format, and on the Windows OS, the data is downloaded in the .zip archive format.

 

Note: On Windows OS, if the compressed zip file size is too large, you may experience error unzipping the file using Windows Explorer. In such scenarios, you may choose another utility to unzip such large data sets.

Download Google Drive data through inSync Management Console

Procedure

To download Google Drive data by using the inSync Management Console,

  1. On the inSync Management Console menu bar, click the Left_Navigation_Bar_Hamburger_Icon.png icon to access the global navigation panel.
  2. Click SaaS Apps.
  3. Click Google Workspace
  4. Click Jobs.
  5. Click on a username link. The Users page appears.
  6. Click Restore Data.
  7. Select Google Drive.
  8. Select a snapshot, which you want to download from the Snapshot Viewer.  You can also search for the files that you want to download.
  9. Select the files or folders that you want to download, and click Download

The files are downloaded at the default download location of the web browser.

Download Gmail data through inSync Management Console

Overview

You can download the entire mailbox (Mails, Contacts, and Calendar) as PST files from a specific point in time snapshot using inSync Management Console. inSync also allows you to do selective downloads for emails, contacts, and calendars in the Archive, MBOX (applicable only for Mails), and PST file formats. For more information, see the Support Matrix for download.

Note:  You can download  Gmail  users' data in  the PST, Archive, and  MBOX  file formats only using inSync Management Console. This is not supported using inSync Web.

You can also use Search to easily find and download specific emails.

To download Emails 

  1. On the inSync Management Console menu bar, click Users.
  2. On the Users page, click the username of the user whose data you want to download and click Restore Data. Under Data Sources, select Gmail.
  3. In the Snapshot Viewer section of the Restore Data window, you can view a list of snapshots of the backed up data.  Select the desired snapshot.
  1. Do one of the following: 
    • To download the entire Mails folder, select Mails and click Download. On the Download Data window, select the desired file format from the displayed options - Archive, MBOX, and PST.
    • To download individual emails,
      1. Click Mails and browse the mailbox. 
      2. Select the mailbox folders or emails that you want to download. On the Download Data window, select the desired file format from the displayed options - Archive, MBOX, and PST. Alternatively, you can also use Search to search for emails that you want to download. Click the email to view its details like sender, receiver, attachments and so on.  
  2. Click Download.  For PST and MBOX download options, the conversion of files to PST and MBOX format takes a longer time to complete. After the conversion is complete, Druva sends an email to the registered email address with a link to download the data.

The following table lists the file format that inSync uses for email downloads. ​​

inSync logs the audit trail for the administrator who has initiated the download action. The link to download the PST and MBOX is also available within the audit trail entry once the conversion and download is complete. For more information, see View audit trail for administrators.

 To download Contacts

  1. On the inSync Management Console menu bar, click Users.
  2. On the Users page, click the username of the user whose data you want to download and click Restore Data. Under Data Sources, select Gmail.
  3. In the Snapshot Viewer section of the Restore Data window, you can view a list of snapshots of the backed up data.  Select the desired snapshot.
  4. Do one of the following:
    • To download all contacts, select Contacts and click Download. On the Download Data window, select the desired file format from the displayed options - Archive and PST.
    • To download a contact group or an individual contact, click Contacts and browse the contact or contact group that you want to download and click Download. On the Download Data window, select the desired file format from the displayed options - Archive and PST. 
  5. Click Download. For PST download option, the conversion of files to PST format takes a longer time to complete. After the conversion is complete, Druva sends an email to the registered email address with a link to download the files. The table lists the file format conventions that inSync uses for contacts downloads.

To download Calendars

  1. On the {{insyncmenubar}}, click Users.
  2. On the Users page, click the username of the user whose data you want to download and click Restore Data. Under Data Sources, select Exchange Online.
  3. In the Snapshot Viewer section of the Restore Data window, you can view a list of snapshots of the backed up data. Select the desired snapshot.
  4. Do one of the following: 
    • To download the entire calendar, select Calendars and click Download. On the Download Data window, select the desired file format from the displayed options - Archive and PST. 
    • To download an individual calendar, click Calendars and browse the calendar that you want to download and click Download. On the Download Data window, select the desired file format from the displayed options - Archive and PST.
  5. Click Download. For PST download option, the conversion of files to PST format takes a longer time to complete. After the conversion is complete, Druva sends an email to the registered email address with a link to download the files. The table lists the file format conventions that inSync uses for calendar downloads.

Note: All Google Calendar attachments are saved in the user's Google Drive account.

Download Google Workspace data through inSync Web

Overview

inSync Share users can download Google Workspace data from inSync Web.

Procedure

To download the data that is backed up from Google Workspace,

  1. Open inSync Web. The inSync Share page appears.
  2. Click Data Sources.
  3. In the data sources list on the left pane, click Google Workspace.
  4. In the Documents pane on the right side, click the row of the folder that you want to download, and then click More > Download.

The selected file or folder is downloaded. The folder is downloaded as a ZIP file. The file is downloaded as is.
