Last Backup Details page

Displays information about last backup status and details about the view of each backup activity for Exchange Online, OneDrive, Gmail, and Google Drive.

Overview

As a Cloud admin, you can get a more detailed insight and view about the state of each backup activity for Exchange Online, OneDrive, Gmail, and Google Drive using the Last Backup Details page. This view provides the number of backed up items (Mails, Folders, Calendars and so on) along with the exact detailed count of the newly added items and updated items from the previous backup, count of deleted items, and also a count of items that were missed and were not backed up. You can download logs to view the details and reason for the failure of backup for missed items.

Exchange Online

Access path

On the inSync Management Console menu bar, click Data Sources > Microsoft 365 > Exchange Online to view the Last Backup Status. The Last Backup Status link opens the Last Backup Details page.

Summary

Field description

The following table lists the fields under the Last Backup Details page.

Field

Description

Job Status

Displays the status of the backup job. The following status is displayed:

  • Backed Up Successfully

  • Backed Up with Errors

  • Backup Failed

Error

Shows the error with a link to error details for Backup Failed status.

Shows hyphen (-) for the Backed up Successfully and Backed up with Errors statuses.

Job Start Time

Displays the Start time when the backup was initiated. This is as per the admin timezone setting.

Job End Time

Displays the End time when the backup job is completed. This is as per the admin timezone setting.

User Name

Name of the user for whom the backup job was initiated.

Email

Email ID of the user.

The following table lists the fields under the Last Backup Details page.

Total Number of Items

Displays a count which is a summation of all the items available in the current snapshot. The count includes the previous snapshot count plus the count of newly added items minus the deleted items count.

For example: Let’s assume if:

Last or previous snapshot count: X

Added : a

Updated: b

Deleted: c

Missed: d

In the above example, the total count is calculated as follows:

Total Number of items= (X+a) - c

The count includes the following Exchange Online items:

  • Mails

  • Mail Folders

  • Calendar Events

  • Calendars

  • Contacts

  • Contact Folders

  • Tasks

  • Task Folders

Total Size

Displays the total size of the latest snapshot

Incremental Item Count

Displays a count of incrementally backed up items. The count includes the number of newly added items plus updated items minus missed items.

For example: Let’s assume if:

Added: a

Updated: b

Deleted: c

Missed: d

In the above example, the Incremental Item Count is calculated as follows:

Incremental Item Count = (a+b) - d

Note: Deleted items are not included within the count.

Incremental Backup Size

Displays the data size of incrementally backed up items.

Items from Previous Backup

Displays the count of items that were already present in the snapshot earlier to this one.

Items

List of all items.

  • Mails

  • Mail Folders

  • Calendar Events

  • Calendars

  • Contacts

  • Contact Folders

  • Tasks

  • Task Folders

Added

Count of newly added items.

Updated

Count of the updated items updated from the last backup.

Deleted

Count of the items deleted from the last backup.

Missed

Count of the items that were missed and not backed up.

Displayed when there is a count for missed or failed items for a backup.

Click Download Logs to download and view the details of missed or failed items’ backup.

OneDrive

Access path

In the above example, the total count is calculated as follows:

The count includes the following OneDrive items:

  • Files

  • Folders

Total Size

Displays the total size of the latest snapshot.

Incremental Item Count

Displays a count of incrementally backed up items. The count includes the number of newly added items plus updated items minus missed items.

For example: Let’s assume if:

Added: a

Updated: b

Deleted: c

Missed: d

In the above example, the Incremental Item Count is calculated as follows:

Incremental Item Count = (a+b) - d

 

Note: Deleted items are not included within the count.

Incremental Backup Size

Displays the data size of incrementally backed up items.

Items from Previous Backup

Displays the count of items that were already present in the snapshot earlier to this one.

Items

List of all items.

Added

Count of newly added items.

Updated

Count of the updated items updated from the last backup.

Deleted

Count of the items deleted from the last backup.
