Sharing files using download or view links

Overview

This topic explains how to share files by creating download or view-only links for them.

Note: You can create links to share files or folders only if the inSync administrator has enabled link sharing for you. 

About using links to share content

Types of links you can create

You can create two types of links to share content:

Link type Description
View links

View-only links for data that you shared. The user can browse through the shared folder and view files in the inSync Viewer. They cannot download any file.

Note: The inSync Viewer supports Microsoft® Office documents (Word, Excel, and PPT) and PDF files only. If the PPT contains hidden slides, they will be displayed on the viewer.
Download links In addition to viewing, the users can download the files and folders shared with them.

Link properties you can manage when creating the link

When creating a link, you can manage the following properties:

  • Life of the link - You can define the number of days and the number of views after which the link will expire. Once the link expires, nobody can use it to view or download the files.
  • Password for the link - You can choose to create a password protected link. The password is automatically generated by inSync. The inSync administrator can make it mandatory to create password protected link.

Sharing links you created

After you generate a link, you can share it with others in one of the following ways:

  • Provide inSync email addresses of the individuals you want to share the link with. inSync will email the link to those individuals. If you have created a password protected link, inSync will email the password to the recipients separately.  
  • Copy the link and password and send them through any medium of your choice.

Creating view only links for sharing content

To create a view link

  1. Open the Share page on inSync Web.
  2. On the left navigation pane, click All Content.
  3. Select the file that you want to share and click Get Link. The Get Link window appears.

  4. Enter the required details:
    • Expire Link in: Enter the number after which the link will expire. This value cannot exceed the value that your inSync administrator set.
    • Maximum views: Enter the number of views after which the link will expire. Each click on the link is considered as a view.
    • Allow Downloads: Clear the checkbox.
    • Require Password: Select if you want to create a password protected link. This field is not displayed if the administrator has made it mandatory to generate password protected links.
  5. Click Get Link. The Share Link window appears.

  6. Share the link:
    • If you want inSync to email the link, enter their email IDs of the recipients and click Send. Select Send password if you want the passwords to be emailed too.
    • If you want to use a different medium, copy the link and the password to a file.
  7. Click Close.​

Creating download links for sharing content

To create a view link

  1. Open the Share page on inSync Web.
  2. On the left navigation pane, click All Content.
  3. Select the file that you want to share and click Get Link. The Get Link window appears
  4. Enter the required details:
    • Expire Link in: Enter the number after which the link will expire. This value cannot exceed the value that your inSync administrator set.
    • Maximum views: Enter the number of views after which the link will expire. Each click on the link is considered as a view.
    • Allow Downloads: Select the checkbox.
    • Require Password: Select if you want to create a password protected link. This field is not displayed if the administrator has made it mandatory to generate password protected links.
  5. Click Get Link. The Share Link window appears
  6. Share the link:
    • If you want inSync to email the link, enter their email IDs of the recipients and click Send. Select Send password if you want the passwords to be emailed too.
    • If you want to use a different medium, copy the link and the password to a file.
  7. Click Close.​
