Managing guest users

Overview

This topic explains the concept of guest users and describes how they can be managed.

About guest users

Note: Guest users are available only if you have inSync Share license.

Guest users are external users who don't have an inSync account in your organization, but can collaborate with inSync users through inSync Share. These users can log on to inSync Web and access files and folders that have been shared with them:

  • If they have view permissions, they can download the files and folders shared with them.
  • If they have edit permissions, they can upload files, create folders, and delete files from the shared folder.

Guest users cannot:

  • Install inSync client and use it for data backup or share.
  • Sync shared folders with their devices.
  • Leave a shared folder.

Guest user licenses

When you purchase inSync Share license, you receive a certain number of guest user licenses free of cost. You can view the number of guest user licenses allotted to you, and the number of guest user licenses consumed on the Share Summary area of inSync Admin Console Dashboard. Alternatively, you can check the License Summary under Settings to view the number of guest licenses allotted to you.

If you need more guest user licenses, you must purchase them. For queries additional guest user licenses, send an email to support@druva.com.

Adding guest users

An inSync administrator cannot add guest users. Guest users are added by inSync Share users who want to collaborate with these external user. As an administrator, you can allow users to invite guest users.

Allowing users to collaborate with guest users

Note: This feature can only be controlled through profiles. Any change to an existing profile is applicable for all users of that profile

To allow users to invite guest users and share documents with them

  1. On the menu bar, click Manage > Profiles.
  2. Click the profile that you want to modify.
  3. Click the Share tab and then click Edit. The edit window appears.
  4. Make sure Enable sharing is selected.
  5. Select Allow sharing with guests.

  6. Click Save.

Viewing the list of guest users

To view the list of guest users

  1. On the menu bar, click Share.
  2. Click the Guests tab.

The list of guest users added to inSync is displayed.

Viewing content shared with a guest user

To view the content shared with a guest user

  1. On the menu bar, click Share.
  2. Click the Guests tab.
  3. Select the guest user whose content you want to view.
  4. Click View Share Content. The Manage Share Content window appears.
  5. Browse and select the file or folder that you want to view.

  6. Click Download

The selected content will be downloaded on your computer.

Resetting password of a guest user

To reset the password of a guest user

  1. On the menu bar, click Share.
  2. Click the Guests tab.
  3. Select the guest user whose password you want to reset and click Reset Password.

New password will be emailed to the guest user.

Deleting a guest user

To delete a guest user:

  1. On the menu bar, click Share.
  2. Click the Guests tab.
  3. Select the guest you want to delete and click Delete.
