Adding users

Overview

This topic contains instructions for creating inSync users, either individually or in bulk (by importing user details from a CSV file or an Active Directory).

About users

Users are individuals who use inSync to backup and share data from their devices. A user can use inSync to backup data from multiple devices. The inSync administrators create accounts for the users.

Adding a single user

Before you begin

Before you create a user:

  • Make sure you have created the profile that you want to assign to the user.
  • Make sure you have created the storage on which data from the user's devices will be backed up.
  • Make sure that the storage for the user is attached to the profile you want to assign to the user.

Procedure

To create a user

  1. On the menu bar, click Manage > Users.
  2. Click Create New. The Create New User window appears.

  3. Add the user details as required. For more information, see the next section in this topic Fields in the Create New User window.
  4. Click Create User.
  5. The inSync account for the user is created. An email is sent to the user with the account details.

Fields in the Create New User window

You must fill the following fields while creating a user:

Field Action
Email address Enter the email address of the user. The inSync account details is sent to the user at this address.
Name

Enter the display name of the user.

Note: Once a user is created, you cannot modify this field.
Profile Select a profile that you want to associate the user with.
Storage Select a storage where you want data to be backed up from the user's devices.
User Quota

Enter the maximum data that the backup and share folder of the user's devices can contain. Backups or share from user devices will fail is data exceeds the quota. If you do not want any restriction on the amount of data the user can back up or share, enter 0 (zero).

Note: By default, the quota assigned to the profile is displayed as the user quota. You can assign a different quota for the user you are creating. If you do so, changes made to the quota on the profile will not be applicable for the user.
Subject If required, modify the subject of the account activation email that will be sent to the user.
Body

If required, modify the body of the account activation email that will be sent to the user.

Adding a group of users by importing details from a CSV file

Before you begin

Before you import users from a CSV file:

  • Make sure you have created the profile that you want to assign to the users.
  • Make sure you have created the storage on which data from the user devices will be backed up.
  • Make sure that the storage for the users is attached to the profile you want to assign to the users.
  • Create a CSV file containing the display names of the users and their corresponding email addresses. A sample of the CSV file is as follows:

Note: Make sure that the CSV file does not have any non-breaking space (Unicode U+00A0) in it. It is recommended that you use a CSV file with only ASCII characters in it. If you must use regional characters in the CSV file, make sure you use UTF8 encoding for the CSV. 

Procedure

To create users

  1. On the menu bar, click Manage > Users.
  2. Click Import > Import from CSV. The CSV Import wizard appears.

  3. Browse and select the CSV file that contains the user details. User information in the CSV file is displayed on the wizard.

  4. Select the users that you want to import, and then click Next.
  5. Select the profile, storage, and quota for the users, and then click Next.

  6. (Optional) Send activation emails to users or download their activation keys:
    • To send activation email to users, select their names and click Send Keys by Email.
    • To download activation keys for users, select their names and click Save Keys.
  7. Click Finish.
Note: Users who receive the activation email can install and activate inSync client on their devices. You have to activate inSync client for those users whose activation keys you have downloaded.
You may even decide not to send activation emails or download activation keys for select users when importing their details from the CSV file. In such cases, you can send activation email to the users later by resetting their password. Or, you can activate inSync client on user devices later.

Adding a group of users by importing details from an Active Directory

You can create inSync users by importing their details from the Active Directory (AD) that your organization uses to store user details. This saves you the effort of creating the users individually.

You can configure the process of creating users from an AD such that:

  • Details of new users added to the AD is automatically fetched by inSync every 24 hours to create new inSync users.
  • Details of new users added to the AD is fetched to create new inSync users only when an administrator triggers the import process.
Note: From an AD you can import only those users who have been assigned an email ID.

Before you begin

Before creating the users:

  • Make sure you have created the profile that you want to assign to the users.
  • Make sure you have created the storage on which data from the user devices will be backed up.
  • Make sure that the storage for the users is attached to the profile you want to assign to the users.
  • Register the AD from which you want to import the user details.

Step 1: Creating an AD mapping

To create an AD mapping

  1. On the menu bar, click Manage > AD Mappings.
  2. Click Create New. The Create AD Mapping wizard appears.

  3. Enter the following details. These details act as a filter. Only those users who match these specifications are imported from the AD.:
    • In AD mapping name field, enter the name that you want to assign to the AD mapping.
    • In From AD field, select the AD from which you want to import user details. Additional fields are displayed based on the configuration of your AD.
    • Select the Base DN, Organizational Unit, and AD Group from which you want to import user details. If required enter details for Department and Country.
    • In Name to be used forcreation, select if you want to use common name or logon name as the username.
  4. Click Next.
  5. Select the Profile, Storage, and Quota per user that will be applied to the users imported from the AD.
  6. Select the frequency of importing data from the AD:
    • If you want to manually import details from the AD to create users, DO NOT select Auto create/update users.
    • If you want the AD mapping to periodically (once every 24 hours) check the AD and create or update users, select Auto create/update users.
  7. Click Finish.

The AD mapping is created.

Step 2: Importing user details from AD (only for non-automatic import)

Note: This step is required only when you have NOT selected Auto create/update users when creating the AD mapping. This step has to be repeated every time you want to import user details from the AD.

To import users from the AD

  1. On the menu bar, click Manage > AD Mappings.
  2. Select the AD Mapping that you want to use for importing users.
  3. Click Import Users Now. The wizard for importing users appears.

  4. Select the users you want to import and click Import Selected Users. The list of imported users is displayed.
  5. (Optional) Send activation emails to users or download their activation keys:
    • To send activation email to users, select their names and click Send Keys by Email.
    • To download activation keys for users, select their names and click Save Keys.
  6. Click Done.
Note: Users who receive the activation email can install and activate inSync client on their devices. You have to activate inSync client for those users whose activation keys you have downloaded.
You may even decide not to send activation emails or download activation keys for select users when importing their details from the CSV file. In such cases, you can send activation email to the users later by resetting their password. Or, you can activate inSync client on user devices later.
