Including emails for backup

About backing up emails

Using inSync you can back up the emails received by users through a desktop email client. inSync supports backup from the following email clients.

As users belonging to a profile may use a Windows, Mac, or Linux laptop, you must add an email client for a specific OS under the tab specified for that OS.

Note: You cannot add multiple email clients for a single OS. For a given OS, if the user does not use the specified email client, administrators will receive a misconfigured backup folder alert from inSync.

More on Outlook backup

If you are backing up emails from Outlook 2013, 2010, or 2007, inSync provides two options for backup - All outlook files backup and Optimized PST backup. The difference between these two backups is as follows:

Property Optimized PST backup All outlook files backup
Data de-duplication More efficient app-aware data de-duplication. Saves only a single copy of duplicate emails and attachments across users. File-level data de-duplication. Changes to the PST files are backed up.
Backup speed Faster backups. inSync uses outlook's MAPI interface to identify messages that have been added, modified, or deleted and selectively backs those up. More time is required for inSync to analyze the PST and identify changes to it.
Non-attached PST By default, inSync backs up only the attached PST files. However, if you select Include PST files from all drives, inSync will locate all unattached PST files in the laptop and back them up. inSync backs up all attached PST files. It also backs up all unattached PST files that are there in the folders containing the attached PST files.
Restore Faster restores. Instead of the entire PST, particular folders like Inbox, Sent Items, and so on can be restored. More time is required for restores. Only the entire PST can be restored.
Restore requirement Requires inSync client and Outlook to restore emails. No specific requirement.
When not to use Do not use if IMAP is used for configuring Outlook. Not applicable.

Including emails for backup on Windows

To backup emails from Windows

  1. On the menu bar, click Manage > Profiles.
  2. Click the profile that you want to modify.
  3. Under the Laptop Backup Content tab, click Edit. The Edit Profile window appears.
  4. Click the Windows tab and select Email from the quick list. Additional fields appear.

  5. Enter the following details:
    • From the Email client to backup list, select the email client you want to back up.
    • If you have selected Optimized PST backup and want to backup even those PST files that are not configured with Outlook, select Include PST files from all drives.
  6. If you want to make it mandatory for users to backup their email client, select Mandatory folder.
  7. Click Save.

To backup emails from Mac

  1. On the menu bar, click Manage > Profiles.
  2. Click the profile that you want to modify.
  3. Under the Laptop Backup Content tab, click Edit. The Edit Profile window appears.
  4. Click the Mac tab and select Email from the quick list. Additional fields appear.
  5. From the Email client to backup list, select the email client you want to back up.
  6. If you want to make it mandatory for users to backup their email client, select Mandatory folder.
  7. Click Save.

To backup emails from Linux

  1. On the menu bar, click Manage > Profiles.
  2. Click the profile that you want to modify.
  3. Under the Laptop Backup Content tab, click Edit. The Edit Profile window appears.
  4. Click the Linux tab and select Email from the quick list. Additional fields appear.
  5. From the Email client to backup list, select the email client you want to back up.
  6. If you want to make it mandatory for users to backup their email client, select Mandatory folder.
  7. Click Save.
