Creating profiles

Overview

This topic explains how to create additional profiles.

Creating additional profiles

Using one of the configuration wizards, you have created the default profile. Using the Create New Profile wizard you can create additional profiles at any given point in time.  

Creating a profile using the wizard

Before you begin: When you create a profile, you can specify the storages to which data from users assigned to that profile will be backed up. Make sure that you created those storages.

To create a profile

  1. From the menu bar, select Manage > Profiles.
  2. Click Create New Profile. The Create New Profile wizard appears.

  3. Enter the relevant details. For more information about fields that appear on the wizard, see Fields in the profile creation wizard.
  4. Click Finish.

The profile is created.

Creating a profile from an existing profile

If you created a profile that is quite similar to the profile you intend to create, you can create a copy of the existing profile and then modify the newly-created profile.

 

To create a copy of an existing profile

  1. From the menu bar, select Manage > Profiles.
  2. Select the profile that you want to copy.
  3. Click Copy. The Copy Profile window appears.

  4. Enter a name and description of the new profile.
  5. Click Copy.

A copy of the selected profile is created. You must now modify the required properties to create the desired profile.

Summary

The following table describes the fields in the Summary page of the wizard.

Field Action
Profile name Enter a name for the profile.
Max. number of users Enter the maximum number of users that can be assigned to the profile. If you do not want any restrictions on the number of users, enter 0 (zero).
Quota per user

Enter the maximum data that any user assigned to the profile can back up or share. If you do not want any restriction on the amount of data the user can back up or share, enter 0 (zero)

Note: Only the data in the backup and share folders of the user devices is used to determine if the user has exceeded quota. If the size of files in the backup and share folders exceed the assigned quota, backups and share from user devices will fail.
Allow users to add devices

Select, if you want to allow users to activate inSync client on their devices. If not selected, you will have to activate inSync client on behalf of the users.

Note: The restriction through this field is only applicable for inSync client installed on user computers. The restriction is not applicable for inSync companion app on user's smartphones or tablets. Only the user can activate inSync companion app.
Max. number of devices per user

This field appears only when you select Allow users to add devices. Enter the total number of devices that each user can backup using inSync. This includes laptops, desktops, smartphones, and tablets.

Profile description Enter a short description describing the characteristics or the purpose for which the profile was created.

Laptop Backup Content

This page is used to define the files and folders that will be backed up using inSync from users laptops or desktops. It is also used to define if emails and system and application settings will be backed up from user devices. The parameters defined on this page are platform agnostic - they are applied on all supported versions of Windows, Mac, and Linux computers.

The following table describes the fields in the Laptop Backup Content page of the wizard.

Field Action
Folders

Select the folders on user laptops or desktops that will be backed up using inSync. The list includes:

  • Email
  • Common folders such as Desktop, Documents, Music, and so on.
  • All drives (the entire laptop)
  • Folders containing MS Office templates and favourites
  • System and application settings
+Add Click to add custom folders for backup
Global Exclusions Enter the file types that will be excluded during backup.
Mandatory folder This option appears when you select one of the entries under Folders. Select if you want backup of the selected folder mandatory. If not selected, user may choose not to backup data from the folder.
Optimize for large number of files This option appears when you select one of the entries (apart from Email and System, App Settings) under Folders. Select this if you are backing up an entire drive or the folder you have selected is expected to contain more than 10,000 files.
Include Files

This option appears when you select one of the entries under Folders. Enter the files or file types that you want to back up from the selected folder.

Note: Files or file types, other than those mentioned in this field, will not be backed up.
Exclude Files

This option appears when you select one of the entries under Folders. Enter the files or file types that you do not want to back up from the selected folder.

Exclude Paths

This option appears when you select one of the entries under Folders. Enter the file names or folder paths that you do not want to back up from the selected folder.

Allow users to add folders Select, if you want users to be able to define the folders from which data will be backed up.

Laptop Backup Schedule

This page is used to define the schedule the frequency and schedule of backups from user laptops and desktops. It is also used to define if the user can pause backups and if backups can automaticaly resume at the next backup schedule.

The following table describes the fields in the Laptop Backup Schedule page of the wizard.

Field Action
Backup every

Select the fequency of scheduled backups from user computers.

Note: The time in this field indicates the interval between the end of a backup and the start of the next scheduled backup. For example, on a device backup started at 10:00 AM and was over by 10:07 AM. If the backup frequency is 4 hours, the next scheduled backup will start at 2:07 AM.
Backup between

Enter the time period during between which scheduled backups will be triggered from user devices every day. Any backup triggered during this period will continue till completion, even if it is past the end time. If you do not want any restriction on triggering a scheduled backup, make the start time and end time identical. 

Note: inSync follows the server's time zone for the Backup between time period. For example, if the server is in New York (EDT) and the Backup between time is set to start at 8:00 AM, scheduled backups will start from 5:00 AM for user devices in Los Angeles (PDT).
Never backup between

Enter the time period during which ongoing scheduled backups will be stopped and new backups will not be triggered. If you do not want any such restriction, make the start time and end time identical. The restriction does not aply to user-triggered backups.

Note: inSync follows the server's time zone for the Never backup between time period. For example, if the server is in New York (EDT) and the Never backup between time is set to start at 8:00 PM, scheduled backup will be stopped at 5:00 PM for user devices in Los Angeles (PDT)
Backup at logoff/shutdown

Select if you want to trigger a backup every time the users shuts down or logs off from their computers.

Note: This option is applicable only for Windows and Linux computers.
Allow users to change schedule

Select if you want users to set their own backup schedule. Schedules set by users will override the schedule set by you.

Note: After a user has set his own schedule, you will not be able to force your schedule on the user by changing the profile settings or moving the user to a different profile.
Allow users to pause backup

Select if you want the user to pause a scheduled backup in progress. A user may decide to pause a backup to conserve internet bandwidth or CPU usage.

Auto resume paused devices at next backup schedule Select to automatically trigger a backup process that was put on hold by the user during the next scheduled backup. If not selected, scheduled backups will not be triggered unless the user removes the pause.

Laptop Backup Resources

This page is used to define the CPU priority and the network bandwidth consumed by the backup process.

The following table describes the fields in the Laptop Backup Resources page of the wizard.

Field Action
Max Bandwidth [LAN]

Enter the maximum network bandwidth the user devices can consume for backing up data over LAN. You can indicate the maximum bandwidth in absolute terms or as a percentage of total available bandwidth. If you do not want to set any resctriction on bandwidth consumption, set the value as 0 (zero).

Max Bandwidth [WAN]

Enter the maximum network bandwidth the user devices can consume for backing up data over WAN. You can indicate the maximum bandwidth in absolute terms or as a percentage of total available bandwidth. If you do not want to set any resctriction on bandwidth consumption, set the value as 0 (zero).

CPU Priority

Select the priority assigned to the backup process by the OS on user's computer.

Note: Assigning a higher CPU priority may affect the performance of other applications on the user's computer.  Assigning a lower CPU priority may increase the time required for backup.
Allow users to modify resource settings

Select if you want the users to be able to modify the Max Bandwidth and CPU Priority values.

Note: After a user has set his own resource settings, you will not be able to force your setting on the user by changing the profile settings or moving the user to a different profile.
Note: In inSync, a connection is identified to be over LAN or WAN based on the IP address used for the connection. Under Manage > Settings > Network Settings, you can mark the Server IP address or FQDN as LAN, WAN, or AUTO. If the Server IP address is marked as AUTO, any connection with 20 ms TTL or greater is identified as a WAN-based connection.

Mobile Policies

This page is used to define the backup and access policies from mobile devices. It is also used to define the backup frequency and bandwidth consumption for mobile devices.

Mobile Access and Backup

The following table describes the fields under the Mobile Access and Backup area.

Field Action
Allow access from mobile devices Select if you want users to access inSync data by using the inSync companion app.
Enforce PIN for mobile access Select if you want to make it mandatory for users to set a four-digit security code for inSync companion app.
Enable mobile backup and device deactivation

This field appears only when you select Allow access from mobile devices. Select if you want users to enable data backup and DLP through inSync companion app.

  • Select Optional if you want users to decide if they want to backup data and select the backup folders
  • Select Manadatory if you do not want to provide users the option to prevent backup.
Mobile apps/folders to backup This field appears only when you select Mandatory for Enable mobile backup and device deactivation. Select the folders from which you want to back up data.

Mobile Backup Schedule and Resources

The following table describes the fields under the Mobile Backup Schedule and Resources area.

Field Description
Backup every Select the fequency of scheduled backups from mobile devices.
Use data network if wifi isn't available

Select, if you want backups from user devices to happen over data network when wifi is not available.

Note: The user may have to pay the mobile service provider charges for the data consumed for the backups.

Backup Policies

Retention and Access Policies

The following table describes the fields under the Retention and Access Policies area.

Field Action
Retain all backups for Specify the number of days you want to retain all backups. At the end of the backup period, the backup is deleted from the inSync Server.
For example, if you specify the backup duration as 5 days, a backup that was taken on January 6, 2013 will be deleted on January 11, 2013.
Retain weekly backups for Specify the number of weeks you want to retain backups. At the end of the weekly backup period, the weekly backup is deleted from the inSync Server.
Note: Weekly backup is the last backup taken on the 7th day after the first backup, or the previous weekly backup.
Retain monthly backups for

Specify the number of months you want to retain backups. At the end of the monthly backup period, the monthly backup is deleted from the inSync server.

Note: Monthly backup is the last backup taken on the 30th day after the first backup, or the previous monthly backup.
Allow users to disallow admin access to data

Select, if you want to allow users to prevent inSync administrators to restore data from their devices on a server.

Note: Once a user has selected to prevent administrators from accessing data, administrators will not be able to restore data on a server for that user even if you change the Profile settings or move the user to a different Profile.
Allow restore from a Web browser Select, if you want to allow users to restore data by accessing their inSync account through a Web browser.
Use active directory password Select, if you want an Active Directory to authenticate user access to inSync. The user will have to use the same password as stored in the active directory to access inSync.
Active directory host IP This field is displayed when you select Use active directory password. Specify the IP address or the fully qualified domain name (FQDN) of the server that contains the Active Directory.
Active directory port This field is displayed when you select Use active directory password. Specify the port number required to access the Active Directory that must be used for user password verification.
Use secure connection This field is displayed when you select Use active directory password. Select if you want inSync to use LDAP over SSL to access the Active Directory.
Ignore system password policy for users

Select, if you want inSync to overlook the password policies set by the organization when users are creating password to access their inSync account.

Note: This option is not available if you have selected Use Active Directory password.

Notifications and Storage

The following table describes the fields under the Notifications and Storage area.

Field Action
Show inSync icon in system tray Select, if you want to have the inSync icon displayed on the system tray of the user’s computers.
Show desktop notifications Select, if you want inSync to display important information to users through desktop notifications.
Mark device inactive if not backed up for Specify the number of days if the device is not backed up, inSync will flag the device as inactive.
This field can contain any value from 1 to 365.
Allow unlimited quota on all storages Select, if you want to choose any of the available storages while creating a user for the Profile. The storage will be used to store backups for the user. If not selected, you must configure the storages that can be used by users assigned to this Profile.
Attached storages This field is displayed when you uncheck Allow unlimited quota on all storages checkbox. Click on the +add link and select the storage that you can choose while creating a user for the profile and specify data volume restriction for that storage. 

For example, you have a storage called STRG0100 that has a capacity to store 100 TB of data. You have another storage called STRG0050 that has a capacity to store 50 TB of data. While configuring the profile PROX15, you attach STRG0100 with 30 TB of data and STRG0050 with 15 TB of data to the profile. In such a scenario, when you are creating a user based on the PROX15 profile, you will get the option to select STRG0100 with 30 TB space and STRG0050 with 15 TB space to store the user's data.

DLP

DLP for Laptops

The following table describes the fields in the Profiles details page.

Field Action
Auto delete Select, if you want the data from the backup folders of the computer to automatically delete if the computer does not connect with inSync server for a specific number of days.
Auto delete folders if device does not connect for This field is displayed only when you select Auto delete. Specify the number of days if the user's computer does not connect with the inSync server, data from the backup folders of the computer is automatically deleted.
Alert if device does not connect for This field is displayed only when you select Auto delete. Specify the number of days if the user's computer does not connect with the inSync server, an alert is sent to the inSync administrators.
Device trace Select, if you want to display the location of the user's computers on the world map in the DLP Overview page.
Encrypt Select, if you want to encrypt all backup folders, just the mandatory backup folders, or disable the encryption functionality.
Select mandatory backup folders for encryption This field is displayed only when you select Mandatory Folders for Encrypt. Select the folders that you want to encrypt.

DLP For Mobiles

The following table describes the fields in the Profiles details page.

Field Action
Device trace Select, if you want the location of the mobile device to display on the world map in the DLP Overview page.
Encryption for android Select, if you want to encrypt the data in the backup folders of the user's android devices.

Share

The following table describes the fields in the Profiles details page.

Field Action
Enable Sharing Select, if you want the users associated with the profile to use the inSync share functionality. The inSync Share folder will be created on all their devices.
# versions of a file to be retained This field is displayed only when Enable Sharing is selected. Specify the number of versions that you want inSync server to maintain of any file that is kept in the inSync share folder of user's devices.
Allow sharing with profiles This field is displayed only when Enable Sharing is selected. Select, if you want the users that are associated with the profile to share files only with the users that are associated with the profiles selected in this field.
Enable link sharing This field is displayed only when Enable Sharing is selected. Select, if you want the users that are associated with the profile to create download links for files in the inSync share folder.
Link expires in This field is displayed only when Link expires in is selected. Type any number between 1 and 365 to specify the number of days you want the download link to remain active.
