How to download Office 365 data?

Overview

As an inSync cloud administrator, you can download the Office 365 backup data. Additionally, inSync users can either download the backup data by using inSync Web.

You can download cloud apps data in either of the following methods:

inSync administrator will be able to see the snapshots of OneDrive and Exchange Online devices in UTC time zone.

For download, you can use Search to easily find files or emails and then download them. 

Download OneDrive data by using the inSync Management Console

Overview

The cloud administrator can download both OneDrive data and Exchange Online data the inSync Management Console. 

You can download the entire mail box as a zipped folder (containing .emls) or mails from the web by selecting (3 months, 6 months) or customizing the date range. You can download only the zipped top-level folders of contacts and calendar from the Exchange Online data. You cannot drill down through a series of folders, and then download the required file or folder.

Procedure

To download data by using the inSync Management Console,

  1. On the inSync Management Console menu bar, select Manage > Users.
  2. Click the user whose data you want to download.
  3. Click the Cloud Apps tab.
  4. Click Restore > Restore Backup Data.
  5. On the Restore Data window, click the device and then select the snapshot which you want to download. You can also search for the files that you want to download.

  6. Select the files or folders that you want to download, and click Download
  7. Click OK.

Download Exchange Online data using inSync Management Console 

Overview 

You can download the entire mailbox, contacts, and calendar as zipped folders. inSync also allows you to do selective downloads for emails, contacts, and calendar. You can also use Search to easily find and download specific emails.

To download emails 

  1. On the inSync Management Console menu bar, click Users.
  2. Click the username of the user whose data you want to download and click  Restore > Restore backup data.
  3. On the Restore Data window, under Data Sources select Exchange Online to view its snapshots and backed up data. 
  4. Do one of the following: 
    • To download emails backed up within a specific period, select Mails and click Download. On the Download window, provide the following details:
      Field Action
      Time Period From the drop-down list, select the duration for which you want to download emails. Select Custom to specify a particular date range.
    • To download individual mailbox folders or individual emails 
      1. Click Mails and browse the mailbox. 
      2. Select the mailbox folders or emails that you want to download and click Download. Alternatively, you can also use Search to search for emails that you want to download. Click the email to view its details like sender, receiver, attachments and so on.  
  5. Click Ok.  The table lists the file name conventions that inSync uses for email downloads. 
    Type Filename 
    Entire mailbox, Mailbox folder <username>.zip
    Individual email <email subject>.eml

 To download contacts 

  1. On the inSync Management Console menu bar, click Users.
  2. Click the username of the user whose data you want to download and click  Restore > Restore backup data.
  3. On the Restore Data window, under Data Sources select Exchange Online to view its snapshots and backed up data. 
  4. Do one of the following:
    • To download all contacts, select Contacts and click Download. 
    • To download a contact group or an individual contact, click Contacts and browse the contact or contact group that you want to download and click Download
  5. Click Ok. The table lists the file name conventions that inSync uses for contacts downloads.
    Type Filename 
    All contacts, Contact group <username>.zip
    Individual contact <contact name>.vcf

To download calendar

  1. On the inSync Management Console menu bar, click Users.
  2. Click the username of the user whose data you want to download and click  Restore > Restore backup data.
  3. On the Restore Data window, under Data Sources select Exchange Online to view its snapshots and backed up data. 
  4. Do one of the following: 
    • To download the entire calendar, select Calendar and click Download.
    • To restore an individual calendar, click Calendar and browse the calendar that you want to download and click Download
  5. Click Ok. The table lists the file name conventions that inSync uses for calendar downloads.  
    Type Filename
    Entire calendar, Individual calendar <username>.zip
