How to restore Office 365 data?

Overview

You can restore the data backed up from cloud apps to a user's device. If the user has multiple devices, you can choose the device on which you want to restore the cloud apps data. However, you cannot restore cloud apps data to a mobile device, or restore another endpoint's data to a cloud apps account. 

You can restore cloud apps data to the following locations on the user's device:

  • At the user's desktop
  • At a custom location of your choice

inSync administrator will be able to see the snapshots of OneDrive and Exchange Online devices in UTC time zone. 

For restore, you can use Search to easily find and restore selected files and emails

Procedure to restore OneDrive

  1. On the inSync Management Console menu bar, click Users.
  2. Click the user name of the user whose data you want to restore.
  3. Click Restore > Restore Backup Data.
  4. On the Restore Data window, click OneDrive and then select the snapshot from which you want to restore.  Alternatively, you can use Search to search for files that you want to restore.
  5. Select the files or folders that you want to restore, and click Restore to Device. The Restore to Device window appears.

    Note: You cannot restore files with the same names simultaneously.

  6. On the Restore to Device window, provide details on the following:
    Field Action
    Restore to device Select the device where you want to restore the Office 365 data.
    Restore to Location

    If you want to restore data to a desktop, click Desktop

    If you want to restore data to a custom location, click Custom Location.

    Specify custom location

    If you want to restore data to a custom location, enter the location in the Specify custom location box.

  7. Click OK.

After the restore operation is completed, you can click View Details to view the restore details. For example, the state of restore, number of files restored, and number of files missed.

Procedure to restore Exchange Online

To restore mails, contacts and calendar to Exchange Online.

Restoring mails, contact and calendar is beneficial to an organization in case an employee is leaving or transferring roles. It ensures restored mails, contacts or calendar events are available for future reference and for business continuity. Restored mails, contacts and calendar events can be retrieved in case of accidental deletion or malicious activities.

To restore entire mailbox

  1. On the inSync Management Console menu bar, click Users.
  2. Click the user name of the user whose data you want to restore. Click Restore > Restore Backup data.
  3. On the Restore Data window, under Devices select Exchange Online to view its snapshots and backed up data. 
  4. Select Mails and click Restore.
  5. On the Restore window, provide details on the following:


 

Field Action
Time Period From the drop down list select the date range since when you want to restore the emails. Select Custom to specify a particular date range.
Restore to From the drop-down list, select the restore location. You can restore the emails to the either original user's account or to a different user's account.
Select user This field is displayed only if you choose to restore the emails to a different user's account. Enter the required user's name.
Include In-Place Archive mails

Select this option to restore the In-Place Archive emails. The restored In-Place Archived emails are added to the "In-Place Archive" folder under the "inSync Restore" folder in your mailbox. The inSync Restore folder is created with a timestamp and the In-Place Archive folder and subsequent folders like Inbox, Sent, Deleted Items etc, are created within this folder. 

Note: Restore of In-Place Archive emails is supported only if the primary mailbox is configured on Exchange Online.

  1. Click Ok.

Note: During the restore activity a new folder is created inside the user's inbox with a date stamp for the restore. This folder will contain all the restore mails. You can then move the restored emails to the desired location in the inbox.

To restore individual emails

  1. On the inSync Management Console menu bar, click Users.
  2. Click the user name of the user whose data you want to restore. Click Restore > Restore Backup data.
  3. Search for emails that you want to restore. 
  4. Select the emails that you want to restore and click Restore.
  5. On the Restore window, provide details on the following:
    Field Action
    Restore to From the drop down list select the restore location. You can restore the emails to the either original user's account or to a different user's account.
    Select user This field is displayed only if you choose to restore the emails to a different user's account. Enter the required user's name.
  6. Click Ok.

To restore Contacts

  1. On the inSync Management Console menu bar, click Users.
  2. Click the user name of the user whose data you want to restore. Click Restore.
  3. On the Restore Data window, under Device & Apps select Exchange Online to view its snapshots and backed up data. 
  4. Select Contacts and click Restore.
  5. On the Restore window, provide details on the following:
    Field Action
    Restore to From the drop down list select the restore location. You can restore the contacts to the either original user's account or to a different user's account.
    Select user This field is displayed only if you choose to restore the contacts to a different user's account. Enter the required user's name.
  6. Click Ok. During the Contacts restore activity, a separate contact list is created.

Note: While restoring Calendar events on Exchange Online "ErrorFolderSavePropertyError" error is displayed. This is API limitation as you cannot create calendar name with more than 256 characters.

To restore Calendar

  1. On the inSync Management Console menu bar, click Users.
  2. Click the user name of the user whose data you want to restore. Click Restore Backup Data.
  3. On the Restore Data window, under Device & Apps select Exchange Online to view its snapshots and backed up data. 
  4. Select Calendar and click Restore.
  5. On the Restore window, provide details on the following:
    Field Action
    Restore to From the drop down list select the restore location. You can restore the calendar to the either original user's account or to a different user's account.
    Select user This field is displayed only if you choose to restore the calendar to a different user's account. Enter the required user's name.
  6. Click Ok. During the Calendar restore activity, a separate calendar is created.

Note: Event details like ‘When’ and ‘Where’ of saved birthday dates, reminders and country holidays are not restored for Exchange Online. Also, holiday events are restored as regular calendar events.

 

Procedure to restore SharePoint Online

Restore Site Collection

  1. On the inSync Management Console menu bar, click Data Sources > Cloud Apps. The Manage Cloud Apps page appears.
  2. Select Office 365 > SharePoint.
  3. Click the site name you want to restore. The site page appears if you select an enabled site. If the site is not configured, you need to configure the site settings first and then trigger the backup activity.
  4. Click Restore. The Restore Data window appears.
  5. On the Restore Data window, click the device and then select the snapshot from which you want to restore data.
  6. Browse and select the sites and sub sites that you want to restore and click Restore.  The Restore window appears
  7. Select a SharePoint restore option:
    • In-place Restore - existing data present in your site collection will be replaced with the data selected for restore. 
    • Restore as a Copy - a new site will be created at the root level and the restored data will be placed in this site.
  8. Click Ok.
