How to restore Office 365 data?

Overview

An inSync administrator can restore Office 365 data to the following locations:

  • To Office 365 from where the data was backed up.
  • User's desktop or to a custom location on the user's device. If the user has multiple devices, you can choose the device on which you want to restore the cloud apps data.
  • Different user's Office 365 account.

For restore, you can use Search to easily find and restore selected files and emails

Note:

  • You cannot restore Office 365 data to a mobile device. 
  • inSync administrator will be able to see the snapshots of OneDrive and Exchange Online devices in UTC time zone. 

This topic describes how to:

Procedure to restore OneDrive

  1. On the inSync Management Console menu bar, click Users.
  2. Click the user name of the user whose data you want to restore.
  3. Click Restore > Restore Backup Data.
  4. On the Restore Data window, click OneDrive and then select the snapshot from which you want to restore.  Alternatively, you can use Search to search for files that you want to restore.

  5. Select the files or folders that you want to restore, and click Restore. The Restore window appears.

    Note: When restoring data to a device, you cannot restore files with the same names simultaneously.

  6. On the Restore window, provide details on the following:
    Field Action
    Restore to

    From the drop-down list, select the restore location. You can restore the data either to the original user's account or a different user's account or any device owned by the user.

    Restore to Location

    If you want to restore data to a desktop, click Desktop

    If you want to restore data to a custom location, click Custom Location.

    Note: This field is displayed only if you choose to restore the data to a device. 

    Specify custom location

    If you want to restore data to a custom location, enter the location in the Specify custom location box.

    Note: This field is displayed only if you choose to restore the data to a device. 

    Restore Options

    Select how you want to restore the data. The following options are available:

    • Restore as a Copy:  Creates a new inSync-restore-<date stamp>-<time stamp> folder and restores the selected data to this folder. 
    • In-Place Restore: Overwrites existing data present in the specified location with the data selected for restore. 

    Note: This field is displayed only if you choose to restore the data to the same user's account. 

    Retain share settings

    Select if you want to retain the file sharing settings for selected data. By default, inSync does not retain the sharing settings during OneDrive data restore.

    Note:

    • This field is displayed only if you choose to restore the data to the same user's account. 
    • Any user with Full Control, Edit, or Design permission to file or folder are restored with Contribute permission. This is a Microsoft API limitation.
    Select user

    Start typing the name of the user and inSync will auto-suggest usernames. Select the required username.  inSync creates a new inSync-restore-<date stamp>-<time stamp> folder and restores the selected data to this folder. 

    Note: This field is displayed only if you choose to restore the data to a different user's account. 

  7. Click OK.

After the restore operation is completed, you can click View Details to view the restore details. For example, the state of restore, number of files restored, and number of files missed.

Procedure to restore Exchange Online

To restore Emails, Contacts, Calendar, Notes, and Tasks within Exchange Online

Restoring data like Emails, Contacts, Calendar, Notes, and Tasks is beneficial to an organization in case an employee is leaving or transferring roles. It ensures that the restored data is available for future reference and business continuity and can be retrieved in case of accidental deletion or malicious activities.  inSync also allows you to do selective restores for emails, calendars, contacts, notes, and tasks.

If you have configured the 'Recoverable Items' folder for backup, you can view the folder and its contents by clicking the individual Exchange Online item. This is not supported for Notes and Tasks within Exchange Online.

To restore Notes

Use the following procedure to restore Notes:

  1. On the inSync Management Console menu bar, click Users.
  2. Click the username of the user whose data you want to restore. 
  3. Click Restore > Restore Backup Data.
  4. On the Restore Data window, under Data Sources select Exchange Online to view its snapshots and backed up data.
  5. To restore notes, select Mails > Notes

  1. Do one of the following:
    • To restore the entire notes folder, select Notes and click Restore.
    • To restore an individual note, click Notes. Browse and select the required note that you want to restore and click Restore

              Alternatively, you can also use Search to search for specific notes that you want to restore. 

  1. On the Restore window, select the details for the following fields:

Restore to

From the drop-down list, select the restore location. You can restore the notes to either the original/same user's account or to a different user's account.

  • User's Account: Click <User’s Account> option to restore the notes to the same user’s account.
  • Different User’s Account: Click <Different User’s Account> option to restore the notes to a different or another user’s account.

Select user: Start typing the name of the user and inSync will auto-suggest usernames. Select the required username. This field is displayed only if you choose to restore the emails to a different user's account.

Restore Options

Select how you want to restore the data.

  • Restore as a Copy (Default option): Creates a new Mails/inSync-Restore-<date stamp>-<time stamp> notes folder within the Mails and restores the selected snapshot to this folder.

  • In-Place Restore:  Overwrites the notes in primary Notes with the notes selected for restore.
  • Restore Deleted items Only: Restores only the deleted notes to the user's primary Notes. This option is available only when you select In-Place Restore.

Note: These restore options are displayed only if you choose to restore the data to the same or original  user's account.

  1.   Click Ok.  Based on the selected Restore Options, inSync restores the selected note/s as mail to the user's mailbox.

 Note: You cannot perform search for specific notes using the search option.

To restore Tasks

Use the following procedure to restore Tasks:

  1. On the inSync Management Console menu bar, click Users.
  2. Click the username of the user whose data you want to restore. 
  3. Click Restore > Restore Backup Data.
  4. On the Restore Data window, under Data Sources select Exchange Online to view its snapshots and backed up data.
  5. Do one of the following:
    • To restore an individual or multiple task folders, select Tasks and click Restore.

Note:  You cannot perform search for specific tasks using the search option.

  1. On the Restore window, select the details for the following fields:

From the drop-down list, select the restore location. You can restore the tasks to either the original/same user's account or to a different user's account.

  • User's Account: Click <User’s Account> option to restore the tasks to the same user’s account.
  • Different User’s Account: Click <Different User’s Account> option to restore the tasks to a different or another user’s account.

Select user: Start typing the name of the user and inSync will auto-suggest usernames. Select the required username. This field is displayed only if you choose to restore the emails to a different user's account.

Restore Options

Select how you want to restore the data.

  • Restore as a Copy (Default option): Creates a new <Task folder name>/inSync-Restore-<date stamp>-<time stamp> folder within the user's Tasks and restores the selected snapshot to this folder. 
  • In-Place Restore:  Overwrites the tasks in primary Tasks with the tasks selected for restore.
  • Restore Deleted items Only: Restores only the deleted tasks to the user's primary Tasks. This option is available only when you select In-Place Restore.

Note: These restore options are displayed only if you choose to restore the data to the same or original  user's account.

  1.   Click Ok.  Based on the selected Restore Options, inSync restores the selected tasks to the user's  Tasks.

To restore Emails 

  1. On the inSync Management Console menu bar, click Users.
  2. Click the username of the user whose data you want to restore. 
  3. Click Restore > Restore Backup Data.
  4. On the Restore Data window, under Data Sources select Exchange Online to view its snapshots and backed up data. 
  5. Do one of the following:
    • To restore emails backed up within a specific period, select Mails and click Restore. On the Restore window, provide the following details:
      Field Action
      Time Period From the drop-down list, select the duration for which you want to restore emails. Select Custom to specify a particular date range.
      Restore to From the drop-down list, select the restore location. You can restore the emails to either the original user's account or to a different user's account.
      Select user Start typing the name of the user and inSync will auto-suggest usernames. Select the required username. This field is displayed only if you choose to restore the emails to a different user's account. 
      Include In-Place Archive mails

      Select this option to restore the In-Place Archive emails. The restored In-Place Archived emails are added to the "In-Place Archive" folder under the "inSync Restore" folder in your mailbox. The inSync Restore folder is created with a timestamp and the In-Place Archive folder and subsequent folders like Inbox, Sent, Deleted Items etc, are created within this folder. 

      Note: Restore of In-Place Archive emails is supported only if the primary mailbox is configured on Exchange Online.

      Restore Options

      Select how you want to restore the data. The following options are available:

      Restore as a Copy: Creates a new inSync-Restore-<date stamp>-<time stamp> folder within the user's mailbox and restores the selected snapshot to this folder. 

      In-Place Restore: Overwrites the data in the user's primary mailbox with the selected snapshot.  

      Restore Deleted items Only: This option is available only when you select In-Place Restore and restores only the deleted emails to the respective folder locations within the primary mailbox.

      Note: These restore options are displayed only if you choose to restore the data to the same user's account.

    • To restore individual mailbox folders or individual emails 
      1. Click Mails and browse the mailbox.

      2. Select the mailbox folders or emails that you want to restore and click Restore.

        Alternatively, you can also use Search to search for emails that you want to restore. Click the email to view its details like sender, receiver, attachments and so on. On the Restore window, provide the following details:
        Field Action
        Restore to From the drop-down list select the restore location. You can restore the emails to either the original user's account or to a different user's account.
        Select user Start typing the name of the user and inSync will auto-suggest usernames. Select the required username. This field is displayed only if you choose to restore the emails to a different user's account. 
        Restore Options

        Select how you want to restore the data. The following options are available:

        Restore as a Copy: Creates a new inSync-Restore-<date stamp>-<time stamp> folder within the selected folder and restores the data to this folder. 

        In-Place Restore: Overwrites the folders/emails in the user's primary mailbox with the folders/emails selected for restore.

        Restore Deleted items Only: Restores only the deleted emails to the respective folder in the user's primary mailbox.

        Note: These restore options are displayed only if you choose to restore the data to the same user's account.

  6.   Click Ok.  Based on the selected Restore Options, inSync restores the selected data to the user's Mail.

Note: 

  • While restoring mails as a copy on Exchange Online, inSync might display an "ErrorFolderSavePropertyError" error. This error is displayed when inSync tries to restore a folder that has more than 255 characters in its name. This is an API limitation.
  • To restore folders within migrated data, it is recommended to restore the folders as a copy. Currently inSync does not support In-Place restore for folders within the migrated data.

To restore Contacts 

  1. On the inSync Management Console menu bar, click Users.
  2. Click the username of the user whose data you want to restore. 
  3. Click Restore > Restore Backup Data.
  4. On the Restore Data window, under Data Sources select Exchange Online to view its snapshots and backed up data. 
  5. Do one of the following:
    • To restore all contacts, select Contacts and click Restore. 
    • To restore a contact group or an individual contact, click Contacts and browse the contact or contact group that you want to restore and click Restore
  6. On the Restore window, provide the following details:
    Field Action
    Restore to From the drop-down list, select the restore location. You can restore the contacts to either the original user's account or to a different user's account.
    Select user Start typing the name of the user and inSync will auto-suggest usernames. Select the required username. This field is displayed only if you choose to restore the emails to a different user's account. 
    Restore Options

    Select how you want to restore the data. The following options are available:

    Restore as a Copy: Creates a new Contacts-<date stamp>-<time stamp> folder within the Contacts and restores the data to this folder. 

    In-Place Restore: Overwrites the contacts in primary Contacts with the contacts selected for restore.

    Restore Deleted items Only: Restores only the deleted contacts to the user's primary Contacts.

    Note: These restore options are displayed only if you choose to restore the data to the same user's account.

  7. Click Ok.  Based on the selected Restore Options, inSync restores the selected contacts and contact groups to the user's Contacts.

Note: While restoring contacts as a copy on Exchange Online, inSync might display an "ErrorFolderSavePropertyError" error. This error is displayed when inSync tries to restore a folder that has more than 255 characters in its name. This is an API limitation.

To restore Calendar  

  1. On the inSync Management Console menu bar, click Users.
  2. Click the username of the user whose data you want to restore. 
  3. Click Restore > Restore Backup Data.
  4. On the Restore Data window, under Data Sources select Exchange Online to view its snapshots and backed up data. 
  5. Do one of the following: 
    • To restore the entire calendar, select Calendar and click Restore.
    • To restore an individual calendar, click Calendar and browse the calendar that you want to restore and click Restore
  6. On the Restore window, provide details on the following:
    Field Action
    Restore to From the drop-down list, select the restore location. You can restore the calendar to either the original user's account or to a different user's account.
    Select user Start typing the name of the user and inSync will auto-suggest usernames. Select the required username. This field is displayed only if you choose to restore the emails to a different user's account. 
    Restore Options

    Select how you want to restore the data. The following options are available:

    Restore as a Copy: Creates a new Calendar-<date stamp>-<time stamp> folder within the Calendars and restores the data to this folder. 

    In-Place Restore: Overwrites the events in primary Calendars with the events selected for restore.

    Restore Deleted items Only: Restores only the deleted events to the user's primary Calendars.

    Note: These restore options are displayed only if you choose to restore the data to the same user's account.

  7. Click Ok.  Based on the selected Restore Options, inSync restores the selected events to the user's Calendars.

Note: 

  • inSync does not restore event details like ‘When’ and ‘Where’ of saved birthday dates, reminders and country holidays for Exchange Online. Also, holiday events are restored as regular calendar events.
  • While restoring calendar as a copy on Exchange Online, inSync might display an "ErrorFolderSavePropertyError" error. This error is displayed when inSync tries to restore a calendar that has more than 255 characters in its name. This is an API limitation.
  • An Office 365 REST API limitation restricts inSync from capturing event deletions.
  • Read-only calendar events if selected for In-Place restore, are skipped from the restore activity.

Procedure to restore SharePoint Online

Restore Site Collection

  1. On the inSync Management Console menu bar, click Data Sources > Cloud Apps. The Manage Cloud Apps page appears.
  2. Click Office 365 > SharePoint.
  3. Click the site name you want to restore. The site page appears if you select an enabled site.
  4. Click Restore. The Restore Data window appears.
  5. On the Restore Data window, in the left pane, select the snapshot from which you want to restore data.
  6. In the right pane, browse and select the sites and subsites that you want to restore. Alternatively, you can use Search Site Collection, located at the top-right corner to search for files across your backed up SharePoint Online sites and subsites.
    1. To use Search Site Collection, type the name of the file you are looking for in the box.
      Note: inSync customers who use Federated Search, can use the metadata attributes of the file to obtain a fast and accurate search result.
    2. Click Filters icon to narrow your search results.
    3. Use the following filters to refine your search criteria:
      1. File Type - Select the file type of the document.
      2. Modified between - Select the time range to get the list of files modified during a particular time range.
      3. Owner - Type the name of the owner of the file.
    4. Click Apply. List of files matching your search criteria is displayed.
    5. Select the desired files.
  7. Click Restore.  The Restore window appears.
  8. Select a SharePoint restore option:
    • In-place Restore - existing data present in your site collection overwritten with the data selected for restore. 
    • Restore as a Copy - a new site is created under the root site and the data is restored to this site. During the restore activity, inSync creates a new inSync-restore-<date stamp>-<time stamp> subsite inside the root site.
  9. Click Ok.

 

Due to a Microsoft API limitation, all team sites (hidden sites for O365 Groups, Teams Web App) are restored with the classic template when restored as a copy. 

 

 

 

 

 

 

If you want to restore a deleted site collection, create a new site collection with the same URL as the deleted site collection. Restore the data of the deleted site in the newly created site collection.
