Manage guest users

Overview

You can allow inSync Share users to share data with guest users. Guest users are individuals who do not have inSync Share installed on their devices. These users can be people within or outside your organization. These guest users can log on to inSync Web to access, download, or update files and folders that inSync users shared with them.

  • If guest users have view permission on the shared content, they can only download the shared files and folders.
  • If guest users have edit permission on the shared content, they can upload files, create folders, and delete files from the shared folder.

Guest users cannot:

  • Install inSync and use it for data backup or share.
  • Sync shared folders with their devices.
  • Leave a shared folder.

Guest user licenses

By default, you get 50 guest user licenses with your inSync Share license. Guest user licenses are allotted to your organization and are shared by all your users. Guest users consume licenses when inSync users share content with individuals who do not have an inSync Share account. Each guest user consumes one guest license. If you need more guest user licenses, send an email to support@druva.com.

Enable guest sharing for a profile 

To enable guest sharing for a profile,

  1. On the inSync Master Management Console menu bar, click Profiles.
  2. Click the profile for which you want to create a guest user.
  3. From the Profile Details page Click the Share tab.
  4. From the Share Settings area, click Edit.
  5. Select the Allow sharing with guests check box, and then click Save.

inSync users can then share data with existing guest users, added by inSync administrator or created by other inSync users.

Add guest users

As an inSync administrator, you can create guest users on behalf of inSync users. inSync users need to share the following details for requesting a guest user account,

  • Guest's email address
  • Guest's name

You can create guest users individually or create them in bulk, based on your preference.

Note: You must enable inSync Share for users for whom you want to add guest users.

Add guest users individually

To add guest users in inSync individually,

  1. On the inSync Master Management Console menu bar, click Availability > Share. Share Overview page appears.
  2. Click the Guests tab. List of existing guest users appears.
  3. Click Create New. New Guest User window appears.
  4. Enter the following details under Guest User Summary,
    1. Email address - Type the email address of the guest user you want to add
    2. Name - Type the name of the guest user.
    3. Requested by - Type the email address of the inSync user, who has requested this guest.
      Note: Only those inSync users, for whom inSync Share is enabled appear in the Requested by list.
  5. Verify the entered details and click Create Guest user.

Requested guest user is created.

Guest users receive their credentials, like their username and password over their email mentioned in inSync. Also, the inSync user who has requested the guest user account, is intimated over email that their request has been processed.

Add guest users in bulk

To add guest users in bulk,

  1. On the inSync Master Management Console menu bar, click Availability > Share. Share Overview page appears.
  2. Click the Guests tab. List of existing guest users appears.
  3. Click Import from CSV. New Guest User window appears.
  4. Click Download Sample CSV File link. A sample csv file is downloaded on your computer.
  5. Open the sample csv file and fill details of the guest users that you want to create in inSync.
    Note: In the Requested by column, you must specify only those inSync users, for whom inSync Share is enabled.
  6. Save the csv file with appropriate name.
  7. Upload the csv file with guest user details to inSync Master Management Console,
    1. Click icon.
    2. Browse and select the csv file with guest user details.
    3. Click Open.
  8. Click Next. inSync validates the uploaded csv for its format and lists all the guest users with their details on the screen.
  9. Verify the list of users and click Create Guest User.

Requested guest users are created.

View the number of guest licenses that you have

To view the number of guest licenses that you have

  1. On the inSync Master Management Console menu bar, click Availability > Share.
  2. On the inSync Dashboard, view the Share Summary area. You can view the number of guest users licenses that you have and the number of guest user licenses that you used.

  1. On the inSync Master Management Console menu bar, click Availability > Share.
  2. Click the Guests tab. The list of guest users added to inSync appears.

Download content that an inSync user shared with a guest user

To download content that an inSync user shared with a guest user

  1. On the inSync Master Management Console menu bar, click Availability > Share.
  2. Click the Guests tab.
  3. Click the guest user whose content you want to download.
  4. Click View Share Content. The Manage Share Content window appears.
  5. Click the file or folder that you want to download.
  6. Click Download. The content that you selected is downloaded on your computer.

Reset the password of a guest user

To reset the password of a guest user

  1. On the inSync Master Management Console menu bar, click Availability > Share.
  2. Click the Guests tab.
  3. Click the guest user whose password you want to reset.
  4. Click Reset Password. inSync sends an email with the new password to the guest user.

Delete a guest user

To delete a guest user

  1. On the inSync Master Management Console menu bar, click Availability > Share.
  2. Click the Guests tab.
  3. Click the guest user who you want to delete.
  4. Click Delete.
