Manage a legal hold policy

Add users to an existing legal hold policy

To add users to an existing legal hold policy:

  1. Access legal hold. See Access legal hold.
  2. Select the legal hold policy for which you want to add users.
  3. Click the Users tab.
  4. Click Add. The Add Users to Legal Hold window appears. 

  5. In the Legal Hold Summary page, provide the appropriate information for each field.

    Add users to legal hold

    Specify the method of adding users to the legal hold policy in this list.

    Enter email ids

    To add users to the legal hold policy by entering their email IDs, perform the following steps:

    1. From the Add users to legal hold list, select the Enter email ids option.
    2. In the next field, enter the email IDs of the users that you want to add to the legal hold policy. You can also select the user from the auto-populated list of users.

    Import CSV file

    To add users to the legal hold policy by importing a CSV file, perform the following steps:

    1. From the Add users to legal hold list, select the Import CSV file option.
    2. If you have a CSV file, in the next field, browse and select the CSV file that contains the email IDs of those users whom you want to include in the legal hold policy. 
    3. If you do not have a CSV file, perform the following steps:
      1. Click Download Sample CSV file. A sample CSV file is downloaded to the default download location of your web browser.
      2. Add the email IDs of those users whom you want to add to the legal hold policy and save the changes.
      3. Browse and select the CSV file for upload.

  6. Click Next.
  7. In the Validate & Add users tab, inSync validates the email addresses and lists the users who will be placed on legal hold.

  8. Click Add Users.

inSync adds the users to the existing legal hold policy.

Remove users from legal hold

To remove users from legal hold

  1. Access legal hold.
  2. Select the legal hold policy from which you want to remove users.
  3. Click the Users tab.
  4. Select the users, and then click Remove
  5. Click Yes to confirm your action.

Once inSync removes users from legal hold, the legal administrator cannot have access the user's backup data.

Update legal hold data access preference

To update data access preferences:

  1. Access legal hold. See Access legal hold.
  2. Select the legal hold policy for which you want to update data access preferences.
  3. Click the Data Access tab, in the Data Access Using WebDAV area, click Edit. The Edit WebDAV Settings window appears. 
  4. Select any of the following legal hold data that you want the inSync cloud administrator and legal administrator to access: 
    Option Description
    All Backup Data Select this option if you want to access the data of all the snapshots for all user devices.

    Last Backup Data

    Select this option if you want to access the data of the latest snapshots for all user devices.

    Data within a Date Range

    Select this option if you want to access the backup data from a specific date range.

    To access newly-created files, modified files, and deleted files between a specific date range for the users who are on legal hold:

    1. From the What data do you want to access using WebDAV list, select the Data within a Date Range option.
    2. From the Select Date Range fields, select the start date and the end date for accessing the legal hold data.
    3. To access the files that were created, modified, or deleted on the endpoint from the backup data in the in the selected date range, clear the Include Deleted Files Only check box. 
    4. To access the files that were deleted from the endpoint or Cloud app from the backup data in the selected date range, select the Include Deleted Files Only check box. 
  5. Click Save.

The data access preferences get saved to your existing legal hold policy. 

Note: The legal administrator must reconnect from the WebDAV client to view these updates.

Update the legal hold policy name

To update the name of a legal hold policy

  1. Access legal hold.
  2. Select the legal hold policy that you want to rename.
  3. Click the Summary tab.
  4. Click Edit. The Edit Legal Hold Summary window appears.
  5. In the Legal Hold Name box, type a new name for the legal hold policy, and then click Save.

Delete a legal hold policy

Note: If you delete a legal hold policy, the users are also removed from legal hold.

To delete a legal hold policy

  1. Access legal hold.
  2. Select the legal hold policies that you want to delete.
  3. Click Delete.
  4. Click Yes to confirm your action.
