Configure the user data privacy policy

Overview

By default, administrators can access user data across your organization. However, you can:

  • Prevent all administrators (including yourself) from accessing user data.
  • Allow users to prevent administrator access to data.
Note: 
  • You can manage the user data privacy policy for inSync through profiles. You cannot do this on an individual user level.
  • User data privacy policy does not apply to legal administrators. Legal administrators can access user data even if:
    • You as an administrator have prevented administrators from accessing user data.
    • Users have prevented administrators from accessing their data.

Scenario 1: Administrator has access to user's data and has allowed user to edit the privacy settings

However, the administrators can view share content for the users. The shared content includes:

  • Files and folders that users have in their inSync Share folder.
  • Files and folders that users have shared with other users.
  • Workspace that are assigned to users.

Configure user data privacy settings

To configure user data privacy settings

  1. On the inSync Management Console menu bar, click Profiles.
  2. Click the profile for which you want to configure the user data privacy settings.
  3. Click General tab, then under User Privacy & Access section, click Edit. The Edit Device Backup Configuration window appears.
  4. Under the User Privacy Settings area select or click to clear the following check boxes:
    • If you want administrators to download users' backup or share data, click the Allow admin access to user data check box. You can set this option only once. If you choose to prevent administrator access to user data, you cannot change this setting again.
    • If you want to display the Privacy tab on the inSync interface, click the Allow users to edit privacy settings check box. Users can control administrator access to data by using this tab. 
  5. Click Save.
Note: If you move a user from one profile to another, the privacy settings of the new profile are reflected for the user. However, moving users to another profile depends on the user privacy settings set at the profile level and the user level. For more information, see Update the profile assigned to users.
